Choosing your venue is one of the most meaningful parts of planning your wedding. It sets the tone for everything that follows... your design choices, your guest experience, and even the rhythm of your day.


But amidst the excitement of beautiful architecture and sweeping views, it’s easy to overlook the practical questions that make the difference between pretty and perfectly seamless.


Most venues will naturally cover the basics, but these twelve questions help you look a little deeper, to make sure your venue not only looks the part, but feels calm, effortless, and aligned with the day you’re dreaming of.


1. What’s included in the hire price?

It’s worth clarifying exactly what’s part of your venue package. Some spaces include furniture, lighting, and coordination whilst others simply provide a stunning blank canvas.


Ask about tables, chairs, linens, lighting, sound systems, and cleaning fees so you can plan confidently and avoid hidden costs later.


2. Can we move between spaces throughout the day?

A smooth flow between ceremony, drinks, and dinner keeps the energy relaxed.

Ask how flexible the layout is and whether certain areas will be off-limits.

If your celebration includes outdoor moments, check what happens if the weather changes, a great backup plan should feel just as special.


3. How long will we have access to the venue?

Setup and clear-down times can vary. Some venues allow styling the day before and collection the morning after and others work within tighter hours.

Knowing when you and your suppliers can access the space helps ensure a calm, coordinated day... with no rushing.


4. Are there curfews or sound restrictions?

If music and dancing are important to you, it’s essential to understand any limitations.

Ask about sound levels, finish times, and whether live or amplified music is permitted. Clear information means no unexpected early endings to your evening.


5. What’s the backup plan if it rains?

Outdoor ceremonies are magical but peace of mind matters.

Ask where your ceremony or drinks would move if the weather changes, and whether the transition can be done smoothly.

A thoughtful wet-weather option is the mark of a truly experienced venue.


6. Can we bring in our own suppliers?

Some venues work with a preferred list and others are completely flexible.

Ask if you can use your chosen florist, caterer, or stylist, and whether the venue team will meet them before the wedding.

It’s also worth checking access for food trucks or mobile bars if that’s part of your plan.


7. What’s the parking and transport situation for guests?

If your venue is more rural, think about logistics.

Ask how many parking spaces are available, whether taxis or coaches can reach the entrance easily, and if the venue has any recommended local transport partners.


8. Is there a coordinator on the day?

Some venues include an on-the-day coordinator who helps everything run smoothly, while others simply provide the space.

Clarify who will be present, what they’ll oversee, and how they’ll liaise with your suppliers. It’s always helpful to know who’s holding the reins behind the scenes.


9. Are there any styling or décor restrictions?

Many venues have guidelines around candles, hanging installations, or fixing décor to walls and ceilings.

Ask what’s allowed before you finalise your designs, so your florist and stylist can plan accordingly and safely.


10. Are there any photo or video restrictions?

A rare but important question... some venues limit drone usage or restrict access to certain areas.

If you’ve spotted favourite photo locations online, confirm they’re accessible.

It’s also worth asking when the light is at its best if golden-hour photos are on your wishlist.


11. What’s the payment schedule and cancellation policy?

It’s not the most romantic question, but it’s one of the most practical.

Ask how deposits, balance payments, and date changes are managed, so you know exactly where you stand before signing.


12. Is there anything we haven’t asked that you think we should know?

A simple but powerful question. Venues know their spaces better than anyone.

This often leads to helpful insights, from hidden photo spots to small details that make the day smoother.
